Application procedure

Make sure to confirm the following before applying.

Tickets for this tour are sold on a first-come first-served basis and applications can be made online (via PC or smartphone).
Applications cannot be made at any of the JTB stores in Japan.

Only limited tickets are available, so tickets may sell out before the end of the application period.

If tickets are sold out, tickets may become available again if other participants cancel their purchase.

Please make sure in advance that you can receive emails from "no-reply@amarys-jtb.jp".

Make sure that you apply with an email address that can receive attachments.

Middle school or younger students who are younger than 15 years old need to be accompanied by a person who is 18 years or older.

Step1

Application

To apply for the tour, please confirm the date, departure place, departure time, etc. of the plan you wish to apply for, then tap or click the "Apply" button for your plan of choice in the tour plan price list and follow the instructions on the screen.

After successful application, a "Application Completion email" from the domain "@jtb.com" will be sent to the registered email address. Further communication will also be sent by email from the domain "@jtb.com."

Step2

Payment of application fee (full tour price)

Please follow the instructions in the Application completion email and pay the application fee (full tour price) within the period indicated below.

You can use the following payment methods to pay the application fee (full tour price).

Credit card
  • Payment period: By 12:00 of the day after applying (if you applied on a Saturday, Sunday, or holiday, by 12:00 of the next working day)
  • After applying, payment will be made online on the JTB application site (AMARYS).
  • Only credit cards in the applicant's name and lump-sum payment are accepted.
  • Applications for which payment could not be confirmed will be cancelled after 12:00.
Step3

Completion of application

Your application will be complete at the time of payment of the application fee (full tour price).

To change your contact information, email address, or other application information or to cancel, please seehere.

Step4

Sending of final confirmation

We will send by courier a "final confirmation" of the tour details between 10 to 7 days prior to the departure date.

Please note that the "final confirmation" will only be sent to the main contact person.

The information will be sent to the address at the time of application. If your address changed in the meantime, make sure to inform the tour desk.

The hotel information sent to you in the "final confirmation" will be the final confirmation of the hotel where you will be staying.

Important Information on Applying

  • Please note that the venue, dates, and performers may be subject to change.
  • You can apply for up to two persons (including the main contact person) with one application.
  • If tickets are sold out, tickets may become available again if other participants cancel their purchase.
  • Applications can be only made online (via PC or smartphone) and are not possible via phone, FAX, mail or at any of the JTB stores in Japan.
    Applications and inquiries can be made only at the dedicated service desk for this tour.
  • Please make sure to read all the travel conditions displayed on the application screen before applying for the tour.
  • Multiple applications made by the same person will all be considered invalid (applications where the main contact person and accompanying person have been switched will also be considered multiple applications).
  • Applications for which payment could not be confirmed by the due date will be cancelled. (The contract is considered concluded upon receipt of the tour fee by JBT. See the travel conditions)
  • Requests for specific accommodations are not possible. (Accommodations will be selected at the sole discretion of JBT.)Please note that we cannot accept requests.

Important Information on Tour Participation

  • Please make sure to comply with the following rules to ensure that all participants can enjoy a pleasant time at the venue on the day of the event.
    Failure to comply may result in the cancellation or interruption of the event, or you may be denied participation at the event.
    In such cases, the tour fee will not be refunded.
  • Please refrain from waiting around the hotel or venue to enter or for people to leave the venue on the day before or from early in the morning, as this may inconvenience the general public and public facilities.
    Please refrain from approaching the performers to ask to for a hand shake etc. at the venue on the day of the event, as this may cause a disturbance.
  • Please note that between performances, the venue is expected to get very crowded due to the ID confirmation procedures and it may not be possible to enter the venue in time before the start of the performance.
    Please enter the venue as soon as possible after it has opened. Re-entry after admission is not possible.
  • Video, still photography or recording during the event are prohibited. If any of the above is discovered, our staff will immediately erase the data or collect the recording film. Please note that you may also be asked to leave the event venue.
  • Video/audio recording and photography may be conducted during the tour and may be published later in video productions, magazines, and TV or internet broadcasts. Your face or voice may be recorded as tour material and in this case, the rights to usage of your likeness are considered to be included in the tour content and shall belong to JTB. Please note that by applying for this tour, you consent to the use of your likeness.
  • Please refrain from moving or leaving your seat unless directed to by the staff.
  • If a minor between 15 and 18 years of age participates in the tour alone, or if a person other than the legal guardian accompanies the minor, a "Consent form for participant of a minor " must be submitted. Failure to meet the participation conditions will result in cancellation. Not required for those living overseas.
  • Children under 15 years of age or junior high school students must participate accompanied by an adult over 18 years of age. Failure to meet the participation conditions will result in cancellation.
  • Participants with disabilities, those in poor health, pregnant individuals, service dog users, and those requiring special assistance must declare their condition at the time of booking. We will accommodate within our capabilities.
    Please note that any special arrangements made according to the customer's request will be at the customer's expense. Individuals with chronic conditions or injuries that may affect their participation should consult their primary care physician before signing up.
  • Depending on the situation, we may request the submission of a doctor's note (or permission slip) or a questionnaire, especially if attending alone. We may also decline participation based on the outcome.
Regarding wheelchair users
  • Participation in the tour is generally possible under the following conditions, but please consult us in advance.
    1. We ask that you sign up with a non-disabled companion (caregiver) for a twin (double) plan. Participation under a single plan is not accepted. Please be sure to stay with your companion during the tour.
    2. We cannot arrange for handicap-accessible rooms; accommodation will be in standard rooms.
    3. Tour staff and guides cannot assist with personal care due to their responsibilities to other participants.

We are not responsible for any issues arising from these limitations.

ID verification at the time of entry

  • On the day of the event, an ID will be required for verification of identity at the entrance. Please check here for details on acceptable forms of ID.
    Accompanying guests must enter at the same time as the purchaser.
  • For other event-related precautions, please refer to the official website before signing up.

About Accommodations

  • Even in cases of double occupancy, accommodations may consist of one king-size bed and an extra bed/sofa bed.
  • Requests for non-smoking or smoking rooms cannot be accommodated.
  • Please be aware that depending on the hotel and room type, some rooms may not have a bathtub, even if they are of the same classification. Also, please note that some hotel rooms may not have a refrigerator, safe, etc.
  • Single room requests may be arranged in a single room, double room for single use, or twin room for single use. We ask for your understanding in advance.
  • Please note that some hotels may provide only one room key for twin rooms.
  • Hotel preferences cannot be accommodated, and are at our sole discretion.
  • Check-in and check-out times vary by hotel.

Travel costs

  • These travel conditions are current as ofApril 11, 2024 (Thu).
    Additionally, travel costs are calculated based on the fares and rules effective as ofApril 11, 2024 (Thu).

  • The "travel costs" on this website, our mailing list, advertisements, and brochures are calculated as: "the amount indicated as the travel costs (or basic costs)" plus "the amount indicated as additional costs" minus "the amount indicated as discounts."

Regarding payment of travel expenses

  • Please pay the travel costs by our specified date.

Changes

  • After signing up, the only change that can be accommodated is a reduction in the number of participants. Changes in the course, increases in the number of participants (additional participants), change of representative, and change of payment method cannot be accepted.
  • In the above cases, please cancel the reserved course and sign up again with the desired course, number of participants, and representative.
    However, changes or corrections to the registered representative’s address, phone number, and accompanying persons’ names are possible.
    To prevent errors or impersonation by third parties, please request such changes via email.
    Please indicate "Change Request" in the subject line and send a change request email with the information listed below.
    Please note, if the change falls within the period when cancellation fees apply, the standard cancellation fees will be charged.

Cancellation fees

  • After the establishment of the travel contract, if the contract is canceled due to the customer's circumstances, the following cancellation fees will be charged:

    The start of the tour refers to the time at which reception at the meeting place on the starting date of the tour is closed.

    Please be advised that if you contact us after business hours, the date for calculating the cancellation fee will be the next business day.

    Changes or cancellations to the number of Otomate Summer Record Collection or Otomate Party 2024 Official Brochures purchased will be accepted until 21 days before the starting date of the tour. For changes or cancellations after the 20th day, please contact us.

    Cancellation of additionally purchased S seats, A seats, or B seats after the sign-up period is not possible.
    In the event of cancellation of the tour, the ticket prices for the additional seats will be retained as a cancellation fee and no refund will be made.
    Also, please be aware that tickets for viewing the performance will not be sent.

    After we confirm receipt of your email, we will guide you through the official cancellation procedures.
    If you contact us after business hours, the date for calculating the cancellation fee will be the next business day. We ask for your understanding in advance.

Refunds

  • For payments made by credit card, refunds will be processed through your credit card. Please contact your credit card company directly for information regarding refund dates and times.
